Starred versions

Stars are a great way to indicate important milestones in a document’s version history. They also make it easier for viewers and guests to browse documents.

When you star a document version, Viewers in your Workspace, Guests with view permissions and anyone a public document link will only see starred versions of that document. If there are no starred versions, we‘ll show the latest version available. When you star a Library version, anyone working with that Library will receive every change associated to the starred version. After that, any unstarred versions won’t immediately send changes to Library users.

Stars in a document‘s timeline help indicate when particular versions are notable or important. They give you more control over what members outside your Workspace see and allow you to make edits to Libraries without sending versions instantly to people who use them (July 2022).

When to use stars

  • Star a version to help Editors in your Workspace identify important versions.
  • Star versions to select which document versions you want Guests, Viewers and those with a public link to see.
  • Star a version to have control over which Library versions are sent to everyone who uses the Library.

How to star a version

In order to star versions in your document, you‘ll first need to save your document to a Workspace.

From the Mac app Choose File > Save and Star… (or press S) and then choose Save and Star in the confirmation window that appears. Every time you save a starred version, you’ll see a badge in the right corner of the Canvas with a little green circle next to the words Starred Version Created. Click on the badge to see that version in your Workspace.

From the web app In the Workspace window, click on the document‘s thumbnail to open it. Every time you save your changes, it will automatically appear as a new version in the timeline that you can find in the sidebar. To star a version, go to the timeline, hover over the dot next to the name of the person that saved that version and click on the star that appears. We‘ll ask you to confirm the action as it affects what Viewers, Guests and those with a public link see.

Starring Library versions

Before we introduced starred versions, any changes you saved to a Library document would be sent as a version to everyone that uses it. Now, with starred versions you get full control over which saves appear as a Library version. So you can work directly on your Library document and explore new ideas and changes, without worrying about pinging everyone with a new Library version every time you hit Save.

When you star a version, anyone that has that Library synced will see a Library Update Available notification in the notifications icon of the Mac app’s window. Clicking on it will take them to the Settings window so they can download the new changes.

Starring multiple versions

Star and unstar as many versions as you need. You‘ll see a grey star next to each starred update.

How to unstar a version

Click on any star in the timeline to unstar a version. Alternatively, you can hover over the version, click Dots Cloud and select Unstar Version…. If you unstar your most recent starred versions, Viewers will see the next most recently starred version.

Who can star a version

Only Editors in the Workspace or Guests with editing permissions can star or unstar versions.

Default document views for Workspace members and guests

Workspace members and Guests with editing permissions will see the full document timeline in the web app. If you‘re a Viewer, or a guest with viewing permissions you‘ll just see starred versions. When there are no starred versions, we‘ll show the latest available version.
